This is the main part of the event and also the most important factor to plan for; start to think about who will be receiving your awards and why they have been selected to win. You will need to know a little about their background and what they’re being judged for. This may require some research. Be sure to be consistent with your judging so the true winners are selected. Consider the physical aspect of the award, be sure it’s on brand or the theme of the event and make it as stylish as ever. Always order a few extra to be safe, someone may have had one drink too many!

The Venue

The venue will have to be the perfect setting with the correct design and lighting to achieve the ceremony theme you’re after. Ensure your venue has the correct format for hosting awards with clear sightlines to the stage whilst most importantly checking it holds the correct capacity. It’s always worth checking that there are no other events on the same day just to ensure you can hire the venue exclusively. Consider your catering options, does the venue have award-winning caterers or a list of recommended ones for you to choose from?

Think about accessibility for your guests arriving to the venue and transport links around the area. Ask for all limitations of the venues. Consider vendors, costs and service changes as well as add-ons for extra rooms.

Theming, Planning and Design

Think about your theming, lighting and the mood of the event. For a company event it’s important to think about branding and colours, depending if you want to be on brand or keep it more subtle. With stage design, never underestimate how important this will be for your award ceremony. Make sure you plan how you would like the stage to look and how it will fit in with your chosen venue. The floor plan will also help you work out where the stage will sit. When looking at your floor plan, be sure that your winners are located in various positions over the room and you know where they’re located.  Think about how easy the stage is to access and exit and sit people accordingly. Don’t forget to consider sound options, the microphones you want to use and of course your presentation. Video footage of your winners is always a nice touch.

When considering your presentation, make sure you have someone tech savvy on standby in case anything goes wrong with audio or equipment (sometimes it just does!) Also consider broadband and Wi-Fi connection and check they’ll be suitable for your event requirements. Then it’s time to consider your host and event speakers. Consider whether you plan on using internal employees as your speakers or hire someone to speak for you externally. Ensure their experience is correct and there’s someone’s who’s confident, engaging and will ensure guests are entertained whilst moving the night along swiftly.
